Executive Assistant and Operations Associate
Job Summary
This role serves as a trusted administrative partner to two senior executives while also supporting the day-to-day operational rhythm of the organization. The Executive Assistant and Administrative Associate ensures that leaders are focused on their highest priorities by managing schedules, coordinating logistics, and maintaining strong internal systems.
In addition, this role supports the execution of CLA’s established marketing strategy under the direction of the Marketing Manager, contributing to the operational consistency and follow-through required for high-quality external engagement.
This position is well-suited to an early to mid-career professional who is highly organized, systems-oriented, and interested in leadership development as both a field and a practice.

Key Responsibilities
Executive Support Responsibilities

Own complex calendar management for two senior executives (CEO and President/Partner), including prioritization, sequencing, and proactive time protection

Coordinate internal and external meetings, ensuring preparation materials, context, and follow-up are in place

Serve as a point of contact for select client and partner communications

Support travel planning, including international travel, expense reconciliation, and executive logistics

Track action items and commitments to ensure timely follow-through

Anticipate scheduling conflicts and proactively recommend adjustments
Administrative Operations

Provide general administrative support, including managing emails, scheduling meetings, and handling internal communications

Coordinate logistics for leadership development workshops, trainings, and events (virtual and in-person)

Prepare and maintain program materials, participant databases, and feedback reports

Support travel arrangements, and expense reporting

Assist with HR, finance, and compliance documentation as needed

Serve as a key point of contact for client and partner inquiries

Maintain internal operating systems and documentation to ensure clarity and continuity

Support CRM data hygiene and integrity in partnership with marketing and operations

Assist with client engagement operations including enrollment tracking, materials preparation, and post-engagement reporting
Marketing and Sales Support Duties

Support the execution of established marketing strategies and campaigns

Support publishing, formatting, and scheduling of social media content, primarily on LinkedIn

Maintain content calendars once priorities are set

Prepare drafts and assets for review

Track campaign performance and maintain reporting dashboards

Update CRM and marketing automation systems as directed

Design and distribute marketing collateral including sales proposals, email newsletters, and event invitations

Maintain and update the company website, ensuring program details and blog content are current

Monitor analytics and generate reports on marketing campaign effectiveness and audience engagement

Conduct basic market research on leadership development trends and competitive offerings
Qualifications

Associate or bachelor’s degree in business administration, marketing, communications, or related field preferred

Demonstrated experience managing complex calendars for senior professionals

Strong organizational skills with the ability to manage multiple priorities

Excellent verbal and written communication skills

Proficiency in Microsoft Office Suite, Adobe, and tools including Canva and HubSpot

Comfortable with social media platforms and website CMS (e.g. WordPress)

Work environment

This role requires a high level of discretion and sound judgment. The Executive Assistant will routinely handle confidential business information, sensitive personnel matters, and private client communications, and is expected to maintain strict confidentiality at all times.
Given the time-sensitive nature of executive scheduling, this role requires dependable responsiveness during business hours and the ability to manage urgent requests with composure and clarity.
Compensation
$65,000 – $70,000 commensurate with experience
